Honestly, the biggest stress-saver is deciding early whether you want to DIY it or bring in a planner for at least the decor and coordination piece — lock the theme and venue first since everything else (backdrop size, cake table, standees) gets planned around those two, and don't skip on balloon arches and photo backdrops since they look expensive but are actually one of the more affordable ways to make a plain hall feel "done," especially a simple 3-panel backdrop with a balloon entrance; if you're adding games or activities, book the coordinator or magician at least 2 weeks out since good ones get booked fast on weekends, and when comparing vendor quotes, watch out for labour and transport charges that sometimes get added separately later.
